Sample approval freezes a reference; it does not prevent later substitutions. OEM sink buyers need a simple rule: any change that can affect fit, appearance, function, compliance evidence, packaging or interchangeability must be disclosed, evaluated and approved before use.

Define what counts as a controlled change
- Drawing dimensions, tolerances, holes, drain position or bowl geometry
- Stated material grade, source, thickness definition or traceability method
- Finish process, color, texture, coating or protective film
- Strainer, seals, clips, accessories, labels or instructions
- Tooling, forming, welding, polishing or assembly route where output may change
- Carton, inserts, nesting method, pack quantity or pallet pattern
A supplier can improve its process without asking the buyer to manage every internal adjustment. The contract should identify which changes require notice because they can alter the approved output or evidence.

Match evidence to risk
A carton artwork correction may need a proof and label check. A drain-location or workstation-ledge change may require a revised drawing, physical sample and accessory-fit verification. A material claim may require updated traceability and the agreed verification method. Do not demand a full validation package for every typo, but do not approve a fit-critical change from a chat message.
Protect revision integrity
The purchase order, drawing, bill of materials, finish reference, packaging specification and inspection plan should point to compatible revisions. Withdraw obsolete shop-floor documents and identify old stock. The first changed lot should be clearly marked so inspection can verify implementation.
ISO 9001:2015 defines a general framework for quality-management systems, including controlled operational processes, documented information, performance evaluation and improvement. A supplier’s certification, if independently valid and relevant in scope, can support due diligence; it does not by itself approve a product change or prove a specific sink conforms.
Handle emergency substitutions explicitly
If supply disruption creates an urgent substitution, record the temporary scope, affected quantity, additional checks and expiry. Temporary approval must not silently become the new standard. If the buyer cannot evaluate the impact before shipment, hold the affected order or agree a documented commercial decision.
Verify the first changed lot
Add targeted checks for the changed characteristic and related risks. If the change affects visible or functional output, compare the result with the approved reference. Update future inspection documents only after the change is accepted.
