An effective stainless steel kitchen sink RFQ should remove assumptions before a supplier calculates the price. It should identify the model, installation method, dimensions, material requirement, finish, accessories, packaging, inspection expectations and commercial scope. A short message that says only “send your best price for a 304 sink” cannot produce a quotation that buyers can compare reliably.
This checklist helps importers, distributors, wholesalers and private-label brands prepare a clearer request for quotation. It does not replace a signed drawing or purchase specification, but it gives both parties a practical starting point.
Why incomplete sink RFQs create misleading price comparisons
Two suppliers may appear to quote the same kitchen sink while pricing different products. One quotation may include a complete drain kit, heavy export packaging and branded accessories. Another may cover only the bare sink. Differences in dimensions, thickness definitions, finish, faucet holes and inspection scope can also change the result.
Before comparing unit prices, make sure each supplier is responding to the same technical and commercial scope. The objective is not to make the RFQ unnecessarily long. It is to define the details that materially affect manufacturing, installation, packaging and resale.
1. State the buyer profile and target market
Begin with a short commercial introduction:
- Buyer type: importer, distributor, retailer, project contractor or brand owner
- Destination market and delivery country
- Sales channel: wholesale, retail, e-commerce, project or mixed
- Estimated trial quantity and expected repeat-order pattern
- Private-label, OEM or standard supplier branding requirement
This information helps the manufacturer understand packaging, documentation and product-positioning needs. It should not be used as a substitute for exact product requirements.
2. Identify the sink model and installation method
Specify whether the required model is topmount, undermount, flush-mount, apron-front or another agreed installation type. For workstation sinks, list the ledges and included accessories. For double-bowl models, state the bowl arrangement and orientation.
If an existing drawing is available, include the drawing number and revision. If the inquiry is based on a reference photo, mark which features are required and which are only visual references. A photo alone cannot define dimensions or tolerances.
3. Provide the dimensions that control installation
At minimum, the RFQ should define:
- Overall sink length and width
- Bowl length, width and depth
- Corner radius where relevant
- Flange or rim dimensions
- Drain-opening size and position
- Faucet-hole quantity, diameter and position
- Accessory-hole requirements
- Cabinet size or cut-out constraints
- Workstation ledge dimensions, if applicable
Use one measurement system consistently and state the required tolerance on the approved drawing. Buyers should also confirm whether dimensions refer to the finished product or another manufacturing stage.
4. Define material and thickness correctly
Write the required stainless-steel grade into the RFQ and purchase specification. Do not rely on broad terms such as “food grade” or “high-quality stainless steel.” If material identity is commercially important, request the appropriate material documentation and agree on the lot-traceability and verification process.
Thickness also needs a measurement definition. State the nominal requirement, tolerance and how the finished sink will be checked. Avoid comparing suppliers using an undefined “gauge” claim when the quotations may use different conversion assumptions or measurement locations.

5. Specify the surface finish and appearance standard
Describe the required finish, color and treatment. Depending on the product, this may include a brushed direction, polished areas, coated surface or other approved finish. Define the acceptable visual standard using an approved sample or agreed inspection conditions.

- Visible surfaces and normally concealed areas
- Logo method and position
- Protective-film requirement
- Limits for scratches, dents, discoloration and polishing marks
6. List every included component and accessory
A quotation should clearly separate the sink body from optional components. List the exact scope:
- Waste strainer and drain parts
- Overflow components, where applicable
- Mounting clips or installation hardware
- Sound-control pads or coating requirements
- Faucet, soap dispenser or cup washer, if required
- Cutting board, colander, drying rack, bottom grid or basket
- Installation template and instruction sheet

7. Define private-label and packaging requirements
Packaging affects cost, damage risk and the buyer’s customer experience. State whether the RFQ requires a plain carton, branded carton or retail-ready packaging. Include:
- Logo files and approved artwork
- Carton marks, barcode and label data
- Instruction-sheet language
- Accessory packing arrangement
- Corner, rim and bowl protection
- Pallet or non-pallet shipping requirement
- Any agreed packaging test or destination-specific requirement
Ask the supplier to show the proposed packing structure during sample approval. Do not wait until the first mass-production shipment to confirm how accessories and exposed surfaces are protected.
8. Explain the sample and approval process
The RFQ should state whether the buyer needs an existing sample, a customized sample or a pre-production sample. Define what will be approved: dimensions, finish, accessory fit, drainage, packaging, labels and documentation.
Record all approved changes in the drawing and specification. Verbal approval or a collection of chat messages can create confusion when production begins. The final approved sample should be linked to a revision-controlled document.
9. Include inspection and evidence expectations
Tell the supplier which evidence is required before shipment. The request may include material records, dimensional measurements, finish photos, functional-test records, accessory checks and packaging photos. Sampling and acceptance criteria should be agreed before production.

10. Keep commercial terms separate from technical requirements
Request the unit price, tooling or customization charges, sample cost, minimum order basis, production lead-time basis, packing quantity and proposed trade terms as separate fields. Ask suppliers to identify exclusions and optional items.
Do not compare the headline unit price until the product and packaging scopes match. A lower number may simply exclude components that another quotation includes.
